Cancellations/Substitutions

Cancellations

All cancellation requests must be submitted via the online Registration Cancellation form. Through April 17, 2023 refunds will be given minus a $150 administrative fee. No refunds will be given after April 17, 2023. If you registered as part of a group and the entire group must cancel, one cancellation request per individual is required.

If you registered as part of a group with the multi-attendee discount, the refund will be made on the lowest registration fee paid minus the administrative fee. If the entire group must cancel, one cancellation request per person is required.

If the in-person event should be cancelled due to unforeseen circumstances, in-person registrations will be transferred to a future conference or refunded by request only; otherwise, in-person refunds will be automatically transferred to the virtual event. No refunds will be given after April 17, 2023.

Substitutions

Can’t attend? Someone from your facility can come in your place. Substitutions will require a $75 substitution fee. All requests must be made in writing via the registration form and submitted onsite at the registration desk. sent via email to ASCA's Meetings Department.

Discounts

ASCA Member Discount

Become an ASCA member and save. ASCA members can take advantage of the lowest registration fees available. If your facility is not currently a member but would like to join to take advantage of the reduced fees, please join online today or contact ASCA's Membership Department for more information.

Multi-Attendee Discount

ASCA facility members that send more than one employee can enjoy additional savings! Pay full price for the first registrant, then receive a $110 discount for each additional registrant. This discount only applies to ASCA facility members. To receive the multi-attendee discount, all registrants must be employed by the same ASC, use the same address, register at the same time and pay with one credit card or check.

Corporate Member Rates

ASCA’s corporate members are eligible for a discounted fee on group registrations of at least 10 people, as well as a 10% discount on all pre-conference workshop fees. Please note that all other fees (guest registrations, additional tickets to food functions, etc.) are not discounted and must be registered for separately by the attendee. The registration deadline to receive these discounts is March 17, 2023. After March 17, corporate members will need to register at the regular member price. Family/Guest Policy

Family/Guest registration is reserved for family members and guests of full conference registrants. Individuals who register in the Family/Guest category cannot be involved in the healthcare industry in any way. Employees of member facilities, prospective member facilities, affiliate companies, prospective affiliate companies or any other companies/organizations related to the healthcare industry are not permitted to register in this category. Family members and guests cannot attend educational sessions and are ineligible to receive continuing education credits. This fee allows family members and guests access to the Exhibit Hall, including the Wednesday and Thursday night receptions, wellness events, continental breakfasts, lunch on Thursday and Friday’s Celebration Luncheon and evening social event. ASCA reserves the right to review the registrations of all family members and guests for eligibility. Any registrant that falls outside of our policy will have to either register under the appropriate rate or will be refunded.


Photography Policy

By attending the ASCA 2023 Conference & Expo, attendees consent to be photographed, filmed and/or otherwise recorded by ASCA and its authorized representatives. Attendees agree that any or all of the material photographed and/or recorded may be used, in any form, as part of any future websites, publications, brochures or other printed and/or digital materials used to promote ASCA, and further that such use shall be without payment of fees, royalties, special credit or other compensation.
